Title: HR and Administration Assistant
 
Organization: The Centre of Excellence in Alternative Care of Children, India (CEAC)
 
Location: Gurugram
 
Salary : Rs.15000-Rs.20000/month
 
Duration: 1 year contract with a three-month probationary period with the possibility of extension. 
 
Organization:

The Centre of Excellence in Alternative Care of Children (CEAC)a registered non-profit organization in New Delhi, India working towards providing family based care to children who are without parental care. 
Millions of children who are without parental care are growing up in Child Care Institutions. The Research evidence suggests that institutional care is harmful for their development and as a result, UN Guidelines on Alternative Care call for states to support and strengthen families and where placement of a child in care is necessary, family-based provision such as kinship care and foster care should be prioritized.
 
The main objectives of the CEAC are:
  • To promote quality alternative care practice and a child’s right to family.
  • To embed the principle of collaboration into national, state and local level child
  • protection systems.
  • To ensure alternative care policies are accessible to those tasked with their implementation.
  • To consult with and assist the government in creating better policies in the field of alternative care.
  • To provide a quality framework of procedures/ guidelines that drives continuous improvement and consistency care services with national, state and local relevance for alternative care practice.
  • To develop data systems and channels of information that enable collection and analysis that informs alternative care planning and practice.
  • To influence the knowledge base and professional capacity of child protection actors in the field of alternative care.
  • To improve protection and welfare of children who grow up without parental care.
  • To design, deliver, monitor, evaluate and document the Pilot Foster care project.
  • To ensure the quality implementation of Foster Care.
Responsibilities
  • Forming and maintaining employee records
  • Updating databases internally, such as leave, sick and maternity leave, conveyance, assets, mailing list etc.
  • Maintaining files, records of Head office and project offices.
  • Preparing and amending where necessary HR documents, i.e. employment contracts and recruitment guides
  • Reviewing and renewing company policies and legal compliance
  • Communicating with external partners
  • Reporting regularly on HR metrics
  • Being the first point of contact for employees on any HR related queries
  • Assisting with payroll by providing the department with relevant employee information, i.e. holiday and sick days taken
  • Helping with various arrangements internally, from travel to processing expenses
  • Understanding various HR software systems, like HRMS
  • Provide support in finding the qualified candidates for vacant respective job positions.
  • Manage interview on telephones or personal meeting to figure out the matched qualities, before processing it to the hiring manager or key interview panel.
  • Assist in arranging face-to-face interview with higher management.
  • Assist in recognizing the key skills and competencies of the candidate to make the final selection of the candidate.
  • Negotiate and decide the cost/salary of the employee in consultation with the higher management.
  • Check the background of candidates followed by employment reference checking.
  • Carry out pre-employment tests as and when required
  • Any other work assigned by senior management.
Skills required
  • Proficiency in operating computers and MS Office package
  • Strong oral and written communication skills in Hindi and Englidh
  • Excellent interpersonal skills
  • Creative skills and ability in planning, implementation and monitoring programs
  • Ability to meet deadlines and targets
  • Ability to understand, analyze people, and address development related issues
  • Well organized, detail oriented and confident personality
  • Ability to work with a diverse group and setting
  • Proven experience as an Administrative Assistant and HR Assistant
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Strong organizational skills with the ability to multi-task
  • Good understanding of labour laws
Qualifications: Graduate in any discipline
 
Experience: Around 2-3 years of office administration and HR experience
